App Privacy Policy

1. Who This Applies To

Aspirant 360° is provided to schools as part of the Aspirant 360° school management platform. Each school (“the School”) is a separate tenant; the School controls which of its staff, students, parents and drivers are given accounts and what data is entered about them.

Aspient Technologies acts as the data processor on behalf of the School, which is the data controller for its own students’ and staff’s information.

2. Information We Collect

Account & profile information (provided by the School or the user)

• Name, role (admin, principal, teacher, parent, student, driver, etc.), phone number, email address, and profile photo.
• For students: class/section, roll number, attendance, exam marks, report cards, and fee records, as entered by the School.
• For drivers/transport staff: vehicle assignment, route, and trip/attendance records.

Device & technical information (collected automatically)

• Push notification token (Firebase Cloud Messaging), used to deliver announcements, report-card availability, and attendance/fee alerts.
• Crash reports and basic usage analytics (Firebase Crashlytics & Analytics) — device model, OS version, app version, and crash stack traces, used solely to diagnose and fix bugs.
• We do not collect precise location data. The App does not request location permissions.

What we do not do

• We do not sell any personal information to third parties.
• We do not use personal information for third-party advertising.

3. How We Use Information

• To provide the App’s core features: attendance, exams/report cards, fees, transport, announcements, and communication between school staff, parents, and students.
• To send push notifications relevant to the user’s role (for example, a parent is notified when their child’s report card is published).
• To diagnose crashes and improve app stability and performance (Crashlytics/Analytics).
• To authenticate users and keep their session secure.

4. Data Storage & Security

• Data is transmitted over encrypted HTTPS connections to our backend and stored in a database operated by Aspient Technologies on behalf of the School.
• Access to student, parent, and staff data within the App is restricted by role — for example, a parent can only see their own child’s records, and a teacher can only see students in their assigned classes.
• Authentication tokens are stored securely on-device using the platform keychain.

5. Data Retention & Deletion

Data is retained for as long as the School maintains an active account with Aspirant 360°, or as required by applicable education-record retention laws.

Users who want their personal data corrected or removed should contact their School administrator, who can request deletion on their behalf, or write to us directly at info@aspient.com.

6. Children’s Data

Aspirant 360° is used by schools to manage records for students, including minors. All student data is entered and controlled by the School (the data controller) under its own legal basis for processing children’s education records (e.g. parental/school consent obtained through normal school enrollment). We act only as the School’s data processor for this information.

7. Third-Party Services

The App uses the following third-party services, each with its own privacy practices:

• Firebase Cloud Messaging (push notifications)
• Firebase Crashlytics (crash reporting)
• Firebase Analytics (basic usage analytics)

8. Your Rights

Depending on your role and applicable law, you may have the right to access, correct, or request deletion of your personal information. Requests should generally go through your School administrator; you may also contact us directly using the details below.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
